
Smart way of doing resource loading
Resource loading is an important component of successful project planning. By developing a well-structured Master Activity list, project managers and planners can generate Resource loading, avoid overloading, and optimize project schedules. This article outlines how to create Resource loading using a Master Activity list.
Step 1: Add your productivity rates to the Master Activity sheet.
1. Open your Master Activity sheet.

2. Add columns for:
- Productivity rates
- Project professions.
3. Fill these columns with your project data. or this guide, we’ll use sample data for demonstration purposes.
Step 2: Merge the Master Activity sheet with data loading.
1. Open queries and connections in your data tools.
2. Link your Master Activity sheet to a new data Query:
- Select Get Data > From Table/Range.
- In the Power Query Editor, choose Close and Load to.
- This box will appear, select only create connections and click OK
- You have made your Master Activity sheet a new Query, but it is only a connection.
3. Merge the new Query with your data loading sheet:
- In the merge box, the first sheet is your data loading, and choose the second sheet to be the Table1 that you just created, click on the Master Activity ID column in the two sheets.
- Expand the merged table and select relevant columns to display.
- Your merged sheet is now ready for detailed resource analysis.
Step 3: Calculate Activity Hours.
Step one always in Power Query shall be to detect data type, to make sure that all your columns containing numbers are number type.
- In the Power Query Editor, ensure:
- columns with numbers are set to number type.
2. Select all profession related columns and unpivot them.
- When all the columns are selected, right-click and choose the option “unpivot columns”.
3. Refine the profession names
Now you have two columns, one for the profession name and the other for the Productivity rate from this profession.
- Change the two columns’ names, attribute to the profession, and value to the profession productivity rate.
Remove unwanted prefixes like “Table1.” using the Replace Values option.
This box below will appear, the word you need to remove is “Table.1” Type it in the first cell and make the other cell empty.
4. Add a custom column to calculate Activity Hours.
- Use the formula:
Activity Hours = Quantity × Floor Percentage × Productivity Rate.
- This is the column you need to import your resources to Primavera P6, now you can click “Close and Load”.
Congratulations! Your Resource loading data is ready.
Step 4: Prepare your data for the P6 import.
- Create a Pivot Table in a new worksheet.
2. To import the resources to your P6 schedule, you will need these three columns:
- Activity ID
- Profession name
- Activity Hours
3. Rename the sheet to Resources to P6. This file is now formatted for import into Primavera P6.
