Control of a stage
A project has many different stages that it goes through. These stages need to be controlled very well so that the project can become a success, failure to which the project will become a failure. Project controlling is not very easy and it requires some level of expertise. The scope of this description is to enable the project manager to have the best control of the project stages so that the project can become a success.
Procedure
The project manager needs to make sure that there is proper planning even before the initiation of the project. The resources need to be adequate and the staff needs to be aware of what they are supposed to do. There is also need to be aware of the anticipated risks and possible ways of controlling the risks.
At each and every stage, there is need to evaluate the performance of the project. Measures need to be put in place on how the evaluation is going to be taken place and there is also need to set the exact levels of performance that are going to be used to measure the success of that particular stage.
Information has to be collected routinely on the progress of the project at each stage. You need to make sure that you collect information about the factors that have cropped up in the project and any dangers that may have arose at any particular stage. This will help you track the project and ensure that you are aware of how the different project stages are fairing on.
There is also need to record and report the accomplishments that have so far been achieved. The will help you in assessing whether or not there is need to continue with the project or not. If you have encountered too many risks that may have interfered with the project and may hinder the continuity of the project, you also need to take note of this.
Project controlling can be a simple affair if all the different stages of the project are fairing on well. You need to make sure that this is so by keeping track of all the inputs as well as the outputs of each and every stage. You also have to look at the processes and the work flow. If there is any problem it will have to be addressed as soon as possible so that the problem does not escalate.
Any changes that have been made need to be documented as well. You need to make sure that if there have been adjustments from the original plan, this information is taken down and recorded. This is the only way you will be able to be accountable in the end in case of any questioning.
Project controlling is simplified by making sure that processes are running smoothly, there are no complaints on the side of the workers and that there is an open means of communication. If you ensure these then you can be sure that all the project stages will run smoothly.
