Are you tired of modifying the prefixes of the activity names after copying the activities under WBSs?? Here is an easy way to modify the activity names using Global Change option!!!

Let’s assume, we have a lot of materials which is repeated under the WBS classifications viz. Material Submittal, Material Approval, Material Procurement & Material Delivery.

• Step 1 – Add the activities under the first WBS (in this case Material submittal), copy and paste it under other WBSs, ie Material Approval, Material Procurement & Material delivery.

• Step 2 – Go to Tools> Select Global Change
  

Click on New tab and new window will pop up. The new window has three sections for entering the IF, THEN, ELSE conditions.

The Global Change Name can be named as Change Activity name

• Step 3 – Click on ADD tab and now select the following options under the respective columns in IF section.

Parameter – WBS

Is – Is under

Value – Select the Value (Material submittal – Electrical)

Just Click on the THEN section and enter the following values in the respective columns by clicking on the ADD tab.

Parameter – Activity name

Is – =

Parameter value – {Custom}. Once you select ‘Custom’, it will show ‘Enter text’ in the column. Type’ Submittal of ‘ in the space.

Operator – &

Parameter/ Value – Activity name

Leave the third section (ELSE) as such. Click on Change tab and a new window will display a list of the activities under the WBS we chose with the old value and the new value.

If you take a closer look, we can see that there is no space between the custom value we added and the old activity name.

• Step 4 – To make a space between the words, cancel the change and add a symbol (for eg: an asterix (*) or an ambersand symbol (&)) and click on Change and then Commit change tab.

   

Close the Global change window and now we can see that the activity names have changed with a prefix ‘Submittal of*’.

• Step 5 – Select all the activities using shift key. Go to Edit Menu> Replace and add the symbol which was added (*) and in the replace column just leave a space by clicking the space bar.

   

Click on Replace all tab and now you can see that the activity names have changed as displayed below. Similarly other WBSs can be changed by entering the respective parameter values in the IF section for approvals, procurement, delivery etc.

NB:- I suggest that you take a copy of the project before any global change is done so that we have a duplicate copy in case we commit some mistake.
