How to Change Activity ID in P6

Introduction

What if you need to change your Activity ID in Primavera P6 to make a unique Activity ID and make it very Specific your current ID is A007 and you want to change it to Con-A1-FF-A007, with a few steps in Primavera and Excel you can change your basic ID into a Professional one.

Now you can Copy all the Activities and IDs in Excel

Now Start to classify the activities according to the location of the activities.

Here are the activity names and ID from P6 after Classifying it.

This Project has 2 Clusters and Every Cluster has many buildings, and Every building has many Floors.

Creating New Activity ID

Now We need to Create a Unique ID by making the classification into an abbreviation to make the ID Define the Activity Location

Then Change Cluster A to CLRA, Building 1 to B1, Ground to G, and do the same to every Cluster, Building, and Floor to add all of them numbering ID

Now you need to Link all these abbreviations together to create a Unique ID

The ID will contain Con, which refers to Construction. CLRA, which refers to Cluster A. B1, refers to Building 1. G Stands for Ground Floor and A007 refers to the numbering ID

Now you need to Import them to Primavera P6, So we need to create a new column to import them

From Enterprise open “User defined Field”

Click on “Add” then a new bat will show up.

Then make the Title “ New Activity ID” and the Data Type “ Text”

We need to show it as a Column and Export it to Excel

From Columns, In User-defined Fields show New Activity ID

Importing New Ativity ID to P6

This is the column for the new ID now we will Import them

From File Choose “Export “

Choose Spreadsheet – ( XLSX) and Click Next

Choose the Export Type “ Activities ” and Click Next

Choose Activities and Click on Modify to show the wanted Column in the Exported Sheet

Just Check on Export and Click Next

After Choosing where the file will be Exported Click on Finish

Then Open the Exported Excel Sheet and another sheet with the New Activities. So, you can VLOOKUP with Basic ID and Find the New ID

All you need to do is to VLOOKUP for the New Activity in Our Data Loading Sheet to Exported Sheet from P6

The Next Step is to copy the New Activity ID and Paste it as a Value to remove the Formula then save it and import it to Primavera.

From File Menu Choose Import, Select the File, and Choose the File then Finish.

This is the Primavera after importing the New Activity ID

As You see in the previous picture the Excavation Activity has “Con-CLRA-B1-A0001”

Let’s break down the ID:

Con for Construction

CLRA for Cluster A

B1 for Building

A0001 for the numbering System

But for RC for columns and Beams, you can find that the ID is “Con-CLRA-B1-G-A0024”

All these Abbreviations are well described except for G

And then G is for the Ground Floor

The Next Step is to change the Basic Activity ID to the New ID By Global Change

From Tools Choose Global Change, Select New

What we will do is make the New Activity ID equal to the Activity ID

The Formula will be as the following:

Press Change to replace the basic with the New

Hint

Please make sure that you have a copy of your Xer before the Global Change

This Report shows that the Activity ID the new one and old one

Click Commit Changes and if you want to save this report click on save to files as a reference of your work.

This is the final Product of the whole process the New ID is unique and professional
